Terms & Conditions

Suited Up for Supercross Rider Support Fund — how the fund is raised, governed and distributed.

1. Purpose

The Suited Up for Supercross Gala is organised by Arwon Motorsports Pty Ltd.

The purpose of the Event is to raise funds to assist eligible Supercross riders with expenses associated with participation in the sport.

The Event is funded primarily through ticket sales and event sponsorships, which are intended to cover the costs of delivering the Event.

In addition, the Event includes dedicated fundraising activities, including but not limited to:

  • Silent auctions
  • Live auctions
  • Raffles
  • Direct donations
  • Merchandise sales identified as fundraising
  • Other fundraising activities conducted during or in connection with the Event.

Unless otherwise stated at the point of sale or donation, funds raised through these dedicated fundraising activities will be contributed in full to the Rider Support Fund.

2. Establishment of the Rider Support Fund

Ticket sales and event sponsorships will be applied towards the reasonable and legitimate costs of planning and delivering the Event, including venue hire, catering, production, entertainment, staffing, marketing, insurance, payment processing fees and other Event-related expenses.

Funds received through dedicated fundraising activities conducted during the Event, including direct donations, live auctions, silent auctions and raffles, are separately identified and are not used to offset Event expenses.

Subject only to any applicable payment processing fees or costs specifically associated with collecting those funds, 100% of the proceeds from these fundraising activities will be added to the Rider Support Fund.

The final amount available for distribution shall be determined by the volume of funds raised and may be reviewed by the Rider Support Fund Distribution Committee established by Clause 16 of these terms.

3. Fund Custodianship and Use of Proceeds

Arwon Motorsports Pty Ltd will hold and administer all Event proceeds and Rider Support Fund monies on behalf of the Rider Support Fund and its approved recipients.

Arwon Motorsports Pty Ltd acts solely as the administrator and custodian of the Rider Support Fund and will administer the Fund in good faith for the purpose of supporting rider participation, development and progression within the sport.

4. Eligible Riders

The following riders and/or teams are eligible to participate in the Rider Support Fund:

  • Cody Oloan — Allocation: 25%
  • Reid Taylor — Allocation: 25%
  • JPM Motorsports — Allocation: 25%
  • Motocoach Elite Racing — Allocation: 25%

No rider shall be entitled to receive funding unless listed as an approved recipient by Arwon Motorsports.

5. Allocation of Available Funds

The net Rider Support Fund will be allocated amongst the Eligible Riders in accordance with the allocation methodology determined by Arwon Motorsports following reconciliation of Event proceeds and expenses.

Each approved rider may claim up to their allocated funding limit, as determined by Arwon Motorsports following the reconciliation of Event proceeds.

Funding allocations are subject to the total funds raised and no rider is guaranteed any minimum amount.

The allocation methodology, funding limits and eligibility requirements may be amended by Arwon Motorsports where reasonably necessary to ensure the fair and effective administration of the Rider Support Fund.

6. Eligible Expenses

Funding may only be used for eligible expenses directly related to participation in Supercross or associated motorsport activities.

Eligible expenses may include:

  • Motorcycle parts and components
  • Riding gear and protective equipment
  • Race entry fees
  • Mechanical and maintenance expenses
  • Fuel and transport costs
  • Freight and logistics
  • Accommodation for race-related travel
  • Training and coaching costs
  • Other expenses approved by Arwon Motorsports

7. Ineligible Expenses

Funding may not be used for:

  • Personal living expenses
  • Entertainment expenses
  • Alcohol or gambling expenses
  • Non-racing related travel
  • Personal debt repayment
  • Cash withdrawals
  • Any expense not directly connected to motorsport participation

8. Claim Process

Funding shall be provided on a reimbursement basis only.

To make a claim, an approved rider must submit:

  • A copy of the supplier invoice and/or tax receipt;
  • Evidence of payment;
  • A valid invoice addressed to Arwon Motorsports Pty Ltd requesting reimbursement;
  • Any supporting documentation reasonably requested by Arwon Motorsports

Claims must clearly demonstrate that the expenditure relates to an eligible expense under clause 6 of these Terms.

9. Approval of Claims

Arwon Motorsports reserves the right to approve or reject any claim, request additional information, determine whether an expense qualifies, partially approve a claim, or refuse reimbursement where insufficient evidence is provided.

Arwon Motorsport's decision regarding eligibility and reimbursement shall be final.

10. Claim Period

Any funds not claimed by an Eligible Rider within 30 days of the last round of SX, unless otherwise agreed in writing by Arwon Motorsports, may be retained within the Rider Support Fund for future approved rider support initiatives and shall not be transferred into general business revenue or used for purposes unrelated to rider support.

11. No Employment or Sponsorship Relationship

Participation in the Rider Support Fund does not create an employment relationship, sponsorship agreement, partnership or agency relationship between Arwon Motorsports and any rider.

12. Limitation of Funding

Funding is discretionary and subject to available funds.

Arwon Motorsports makes no representation or guarantee regarding the total funds available, the amount allocated to any rider, or the approval of any particular claim.

13. Records and Transparency

Arwon Motorsports will maintain records of:

  • Funds raised through the Event
  • Event expenses
  • Net funds available for rider support
  • Approved reimbursements

Ticket sales and general Event revenue are intended to fund the costs of delivering the Event.

Dedicated fundraising activities conducted during the Event, including direct donations, live auctions, silent auctions and raffles are conducted specifically for the purpose of raising money for the Rider Support Fund.

These fundraising proceeds will not be used to fund general Event expenses.

Recipients may be required to provide additional information to support compliance and auditing requirements.

14. Amendments

Arwon Motorsports reserves the right to amend these Terms and Conditions at any time where reasonably necessary for administration of the Rider Support Fund.

15. Acceptance

Submission for a reimbursement of an Eligible Expense constitutes acceptance of these Terms and Conditions.

Governance, Transparency & Distribution Framework

16. Distribution Committee

To ensure fairness, transparency and accountability in the allocation of Rider Support Fund monies, Arwon Motorsports will appoint a Rider Support Fund Distribution Committee.

The Committee may consist of representatives including:

  • Arwon Motorsports
  • Australian Supercross industry representatives
  • Independent motorsport professionals
  • Rider representatives
  • Other suitably qualified individuals as determined by Arwon Motorsports

The Distribution Committee may provide recommendations regarding rider eligibility, funding priorities and allocation methodology.

Any Committee member with an actual or perceived conflict of interest must declare that conflict and abstain from decisions relating to the affected application.

17. Allocation Methodology

Funding allocations will be determined following completion of the Event financial reconciliation and assessment of available Rider Support Fund monies.

In determining allocations, Arwon Motorsports and/or the Distribution Committee may consider factors including:

  • Privateer rider status
  • Financial need
  • Championship participation
  • Travel requirements
  • Rider development opportunities
  • Injury recovery requirements
  • Rider performance and commitment
  • Number of events contested
  • Overall benefit to rider participation within Australian Supercross

No rider is guaranteed funding and allocation decisions remain at the sole discretion of Arwon Motorsports and/or the Distribution Committee.

18. Public Transparency Reporting

Arwon Motorsports will publish a Rider Support Fund Summary Report within 90 days of the Event.

The report may include:

  • Total funds raised
  • Total sponsorship contributions
  • Total auction, raffle and fundraising proceeds
  • Total Event expenses
  • Net Rider Support Fund balance
  • Total funds distributed
  • Number of riders supported
  • Remaining balance retained for future rider support initiatives

The purpose of this reporting is to provide transparency to sponsors, donors, attendees and the wider Supercross community.

19. Event Expenses

Money raised through fundraising efforts will be dedicated to the Rider Support Fund balance, no event related expenses such as those listed below will be paid for with donation monies.

  • Venue hire
  • Catering
  • Production
  • Audio visual services
  • Staffing
  • Marketing and promotion
  • Insurance
  • Event management services
  • Payment processing fees
  • Travel and accommodation
  • Administration and supplier costs

20. Quarantining of Rider Support Funds

All Rider Support Fund monies shall remain dedicated to rider support purposes.

Funds held within the Rider Support Fund must not be used for:

  • Director distributions
  • Shareholder dividends
  • Employee bonuses
  • Personal benefit
  • General business operations unrelated to rider support

Any funds not distributed during the current funding period will remain allocated to the Rider Support Fund and may be carried forward to future rider support initiatives.

21. Independent Financial Review

Arwon Motorsports reserves the right to engage an independent accountant or financial professional to review Event financial reconciliations, Rider Support Fund balances and distribution records.

Any such review may be undertaken to support transparency, governance and stakeholder confidence.

22. Impact Reporting

Recipients of Rider Support Fund assistance may be invited to provide updates regarding how the funding assisted their participation in the sport.

This may include:

  • Race participation outcomes
  • Rider development achievements
  • Travel opportunities
  • Equipment purchases
  • Training outcomes
  • Testimonials and case studies

Such information may be used by Arwon Motorsports for reporting, promotional and stakeholder communication purposes.

23. Auction, Donation and Fundraising Proceeds

Unless otherwise disclosed at the point of donation or fundraising activity, all net proceeds generated through:

  • Auctions
  • Raffles
  • Donations
  • Merchandise sales
  • Sponsorship contributions
  • Fundraising campaigns

shall form part of the Rider Support Fund and be administered in accordance with these Terms and Conditions.

24. Conflict of Interest

Arwon Motorsports will take reasonable steps to identify, disclose and manage any actual, potential or perceived conflicts of interest relating to Rider Support Fund allocations.

Any person involved in assessing, approving or recommending funding allocations who has a personal, financial or family relationship with an applicant must disclose that relationship and remove themselves from the relevant decision-making process.

25. Commitment to Community Benefit

The Rider Support Fund exists to support the growth, sustainability and accessibility of Australian Supercross.

All decisions relating to the administration of the Fund will be made in good faith with the intention of delivering meaningful benefit to riders and the broader Supercross community.

26. Administrative Transparency

A summary of the Event financial reconciliation, including total revenue, total event expenses and Rider Support Fund proceeds, will be made available upon request to major sponsors, funding partners and relevant stakeholders.

Definitions

means Suited Up for Supercross Gala
Organiser
means Arwon Motorsports Pty Ltd
Effective Date
means the date of these Terms and Conditions.
Rider Support Fund
means net proceeds raised by Arwon Motorsport at the Event regardless of the source of those net proceeds.
Event Date
means 28 July 2026
